Valtaic Ltd is the controller of personal information collected through this website, the pilot-interest list and enquiries. This means we determine why and how that information is used. Our policy is to handle it in accordance with the UK GDPR and the Data Protection Act 2018, as amended.
Customer use of the workspace or API is covered by the applicable service and data-processing arrangements. The Property Valuation API data-protection guidance explains the matters to agree for a deployment. Website registration and API requests have different purposes and retention arrangements.
Information We Collect
- Pilot interest: your email address, optional product preference, signup source and registration date. We may also receive a name or company if you choose to provide them.
- Correspondence: messages you send us and the contact details you include.
- Website use: technical information such as IP address, browser details, pages requested and timestamps, used to operate, understand and protect the site.
Joining the pilot list is optional. We need an email address to register your interest and contact you; the product preference is optional. Please do not send tenant, borrower or other confidential personal records through the signup form or general enquiry email.
How And Why We Use Information
We use your details to register your interest, send a confirmation, contact you about the pilot and respond to your enquiries. We use technical information to operate the website, prevent misuse and understand how it is used.
Our lawful basis is our legitimate interest in responding to requests, organising the pilot and running a useful, secure website. Where processing is necessary to comply with a legal obligation, that obligation is our lawful basis. If we ask for consent for a separate purpose, you can withdraw it at any time.
Joining the list requests pilot-related contact from Valtaic, not unrelated advertising. We do not use signup information to make solely automated decisions that have legal or similarly significant effects on you.
How Long We Keep Information
Our retention period for pilot-list records is up to 12 months from signup or the last direct pilot-related contact with you, whichever is later. Routine broadcast emails do not extend that period. You can ask us to remove your registration sooner. Our policy is to delete or anonymise records when they are no longer needed for pilot recruitment.
Correspondence, technical logs and necessary compliance records are retained only for as long as needed for their purpose, taking account of unresolved enquiries, security investigations, legal obligations and claims. Any necessary record of an objection is limited to the information needed to respect that request. Removal requests cover relevant copies held on our behalf, subject to applicable legal requirements and backup-retention cycles.
If you become a pilot participant, we will explain the arrangements for participant information separately.
Your Choices And Rights
You can leave the pilot list or object to pilot-related contact at any time. Email hello@valtaic.io with “Remove Me From The Pilot List”.
Under UK data-protection law, you may also have the right to access your information, correct it, request its deletion, restrict its use, object to processing based on legitimate interests and receive a portable copy where the relevant conditions apply. Where we rely on consent, withdrawing it does not affect the lawfulness of earlier processing.
Contact us to exercise a right. We may ask for proportionate information to verify your identity. Requests are normally answered within one month; if a lawful extension applies, we will explain why and when to expect a response. Requests are normally free of charge.
If you have a privacy complaint, please email us with “Privacy Complaint” in the subject. We will acknowledge it within 30 days and respond without undue delay. You also have the right to complain to the Information Commissioner’s Office.
Changes To This Policy
We may update this policy as the website or our services develop. The date above identifies the current version. If a change materially affects how we use your information, we will explain it through an appropriate notice and obtain any consent required by law.
